Hostel Rules & Regulations

To ensure a safe, secure, and comfortable residential experience for all GITAMites, the university has implemented the following guidelines:

Anti-Ragging

Ragging is strictly prohibited at GITAM. Any student found engaging in ragging activities that cause inconvenience, embarrassment, or physical or mental harm to other residents will face severe disciplinary action in accordance with UGC guidelines.

Ragging Prevention Programme
GITAM strictly prohibits ragging in any form. Any student found indulging in ragging, whether physical, verbal, or psychological, will face strict disciplinary action as per UGC guidelines.

What Constitutes Ragging
Ragging includes any act that causes discomfort, embarrassment, or harm to another student. It is a criminal offence under Indian law and is punishable by suspension, expulsion, and legal action.

Strict Action Against Ragging
Students involved in ragging will face disciplinary action, including suspension, expulsion, and legal consequences as per UGC regulations.

Maintaining a safe and respectful campus is a shared responsibility. If you see something report it.

 
Information Submission

All residents must provide their permanent and temporary addresses, as well as the contact information of their parents or guardians. Any changes to this information must be reported to the student residence administration promptly.

Room Allocation and Continuity
  • Room Changes: Unauthorised room changes are strictly prohibited. The administration reserves the right to reallocate rooms as needed, and objections will not be entertained.
  • Renewal: Yearly or semester renewal in the residence is contingent upon the student's satisfactory behaviour and academic performance. Students who fail or are detained in any semester may not be eligible for continued residence.
  • Room Handover: All residents must personally hand over their rooms to the Residence Manager at the end of each semester or academic year.
  • Vacating the Residence: After completing the final semester, students must vacate their residence promptly by the deadline specified by the Residence Manager, ensuring all outstanding bills are cleared.
  • Extensions: Students seeking to remain in the residence beyond the specified deadline for valid reasons must obtain prior permission from the Residence Manager.
Resident Conduct
  • Respect for Others: Residents must refrain from any form of verbal or physical violence towards fellow residents or staff. Maintain a peaceful and orderly environment at all times. Violations will result in disciplinary action and may lead to expulsion.
  • Prohibited Items: Possession of objectionable or illegal items is strictly prohibited. The Residence Manager may inspect belongings at any time, regardless of the resident's presence. Failure to comply may lead to expulsion.
  • Room Maintenance:Keep your residence clean and cooperate with staff. Avoid loud noises and excessive noise pollution. Switch off lights and fans when leaving the room. Observe quiet hours from 10 PM to 7 AM.
  • Disciplinary Action:Intentional misconduct may result in fines or expulsion.
  • Property Damage:Avoid writing or pasting posters, captions, or graffiti on walls or doors, except in designated areas.
  • Room Occupancy:Minimise time spent in rooms during college hours unless necessary and with prior permission.
  • Online Shopping:Complete online shopping pickups between 6 AM and 9 PM.
  • Guests: Guests are not allowed without prior permission.Violations may result in warnings or fines for all residents in the room.
  • Phone Calls:Receive phone calls between 6 AM and 10 PM to avoid disturbing roommates. Use designated student lounges for late-night calls.
  • Prohibited Appliances:Do not use clothes irons or immersion heaters in your room. Use common facilities provided.
  • Celebrations:Celebrate in designated areas and at specified times. Avoid disturbing other residents.
  • Outdoor Activities:Refrain from outdoor games and sports that may damage indoor facilities.
  • Inappropriate Behaviour:Avoid vulgar, explicit, or abusive language, gestures, or displays. Such behaviour may lead to immediate warnings or expulsion, as determined by the Director of Student Life.
Cleanliness and Hygiene
  • Food Consumption:All meals must be consumed within the designated dining halls. Outside food is strictly prohibited in dining halls and student rooms to maintain hygiene.
  • Designated Areas:Outside food may only be consumed in designated areas within each student residence.
  • Food Waste and Damage:Avoid wasting food or damaging cutlery. Costs will be recovered from individuals who intentionally damage property.
  • Removal of Items:Food items and utensils from the dining hall must not be taken outside.
  • Violations:Any violations of these guidelines will be taken seriously and subject to appropriate disciplinary action.
  • Dining Hall Timings:Dining hall timings will not be extended.
Safety and Security
  • 24/7 Surveillance:The Residence Manager and security personnel monitor security within the residences and on campus.
  • ID Cards:All residents will be issued ID cards that must be presented when required.
  • Prohibited Activities:Gambling, smoking, alcohol consumption, drug use, and possession of such items are strictly prohibited. Violations will result in disciplinary action.
  • Personal Belongings:While the residence authorities strive to ensure safety, they are not responsible for the loss of personal items. Residents should take care of their belongings and avoid sharing ATM PINs.
  • Valuables:For added security, residents are advised to avoid keeping valuables and large sums of cash in their rooms.
  • Bank Deposits:Depositing excess money in the bank is recommended for safekeeping.
Dues and Payments
  • Monthly Payments:All students must pay their semester bills by the 5th of each month. Rental fees may be subject to periodic adjustments at the discretion of the management.
  • Non-Payment:Students who fail to pay their dues within one month may be required to vacate the residence.
  • Caution Deposit:The caution deposit is non-refundable and will be adjusted or refunded upon vacating the residence.
  • Infrastructure Fee:The infrastructure fee/GU management fund is non-refundable, even if the student discontinues their studies or vacates the residence.
Attendance Register
  • Curfew:For safety reasons, students are discouraged from leaving the campus between 9:00 PM and 6:00 AM. All students must return to their residence by 9:00 PM on weekdays and 9:30 PM on weekends.
  • Nightly Attendance:Attendance will be recorded by the Residence Managers between 9:30 PM and 10:30 PM each night. Residents must personally sign the attendance register or use biometric attendance systems at the residence reception. Once attendance is recorded, students are not permitted to leave the residence premises. Violations will result in disciplinary action.
Leave and Outing
  • Overnight Leave:Residents seeking to leave campus overnight must obtain written permission at least two days in advance by emailing studentlife_helpdesk@gitam.in.
  • Parental Consent:The helpdesk will verify leave permission from parents/guardians.
  • Stay Information:Residents must provide the address of their stay during the leave period and their expected return date.
  • Academic Leave: Students requiring leave from academic sessions must obtain separate permission from their Head of Department (HOD).
Outside Competitions
  • Out-of-Station Competitions: Students seeking to participate in out-of-station competitions must submit an application with supporting documentation and obtain written permission from the Director. Parental consent is required. Students must also inform the Residence Manager and make an entry in the out-of-station register.
  • In-City Competitions:Students participating in competitions within the same city must submit an application with proof and obtain permission from the Director. Notification to the Residence Manager and entry in the out-of-station register are also required.
Medical Emergencies
  • Parental Presence: In case of serious illness or hospitalisation, parents or guardians must attend to the student's needs promptly.
  • GIMSR Hospital:If parental attendance is delayed, the student may be taken to GIMSR Hospital. All medical expenses will be borne by the student.
  • Accompaniment: Only the concerned residence staff will accompany sick students to the hospital. Other students are not permitted to accompany patients.
Visitor Policy

Parents and local guardians may visit from 5:00 to 8:00 PM on weekdays and from 10:00 AM to 8:00 PM on weekends and public holidays by appointment only.

Damages and Fines

Students who cause damage to residential properties will be responsible for repair costs and additional fines. If the specific individual responsible cannot be identified, the cost will be distributed among all residents of the affected block or floor, as determined by the Residence Manager.
